Guides

Social step by step

Messages from Facebook, Instagram and WhatsApp, AI replies, designs, posts and ads. Everything is also in the phone app, except connecting the channels.

Connect Facebook, Instagram and WhatsApp

  1. Open Customer messages → Channels.
  2. Click Connect with Facebook and choose the business Page and the Instagram account you manage.
  3. For WhatsApp click Connect WhatsApp and follow Meta's steps for the business number.
  4. Connected channels show as active; new messages arrive at once in Inbox.

You need to be an admin of the Facebook Page. Channels are connected on the web.

Chat on your website

  1. In Customer messages → Channels, find Website chat and click Turn on the chat.
  2. Copy the code that appears and put it on your website before </body>, or send it to whoever looks after your site. In the app, send it with Send the code.
  3. A chat bubble appears in the corner of your site, in the visitor's browser language.
  4. Visitors' messages arrive in Inbox under the Website channel; you or the AI answer them just as on Messenger.

No Meta approval is needed. Switch it off in Channels with Disconnect; the code stays the same if you turn it on again.

Customers' emails in the inbox

  1. In Customer messages → Channels, find Email in the inbox and click Turn on email.
  2. A private address just for your business appears; click Copy the address.
  3. In Gmail or Outlook, forward your business emails to this address; Gmail's confirmation code arrives here in the inbox.
  4. Customers' emails arrive in Inbox as the Email channel; answer them like any conversation, and the answer goes out with your business name.

Your email password is never needed. When the customer replies, the message comes back to the same conversation.

Replying to customers

  1. In Customer messages → Inbox open a conversation and write your reply; the “Unanswered” filter shows who is waiting.
  2. Type “/” in the reply box for your saved replies; they come out in the customer's language.
  3. Switch to Internal note for a note the customer never sees; type @ to call a colleague in, who gets a notification.
  4. Use Assign to give the conversation to a colleague, Tags to mark it (e.g. Offer, Complaint) and Close when it is done.
  5. In Customer card link the conversation to the client, see their invoices and click Send the invoice link; send an offer from Offers with Send in the chat.

On WhatsApp you can reply freely for 24 hours after the customer's last message; after that only an approved template can be sent.

Customer stages and the 1–5 rating

  1. In a conversation, choose Customer stage: New, Interested, Offer sent, Customer or Lost; the stage also shows in the list of conversations.
  2. When you send an offer with Send in the chat, the conversation moves to Offer sent by itself.
  3. In Inbox, filter by stage next to Tags (All stages).
  4. In Auto-replies → Team and alerts, turn on Ask the customer for a rating when a conversation is closed: when you close the conversation with Close, the customer is asked how the service was and answers with a number from 1 to 5.

In Statistics you see the conversations by stage and the average rating. The question is only sent while the customer can still be written to, at most once a week.

AI replies and automatic replies

  1. In Customer messages → AI switch the AI on and choose whether it only suggests or replies by itself.
  2. In What the AI knows add frequent questions, policies and business information; the AI also sees your products, prices and live stock.
  3. In Auto-replies set the welcome, the out-of-hours message, keyword replies and your opening hours.
  4. Try it in Try the AI before letting it reply by itself.

When the AI is not sure, it hands the conversation to a person.

Appointments from the chat and the reminder the day before

  1. In Customer messages → AI, turn on The AI books appointments in the calendar and choose the appointment length, how many days ahead and how many appointments at the same time.
  2. The AI offers customers only free times from your opening hours and calendar; when a customer takes one, the appointment is created in the calendar and the team is told.
  3. With Reminder the day before (YES/NO) the customer gets a reminder the day before, from 10:00, and answers YES or NO.
  4. YES is noted on the appointment in the calendar; NO cancels it, frees the time and tells you.

On WhatsApp, when the customer has not written in the last 24 hours, the reminder goes as a template Meta approves; on Messenger and Instagram only within 24 hours.

Comments on Facebook and Instagram

  1. In Customer messages → Comments see the new comments under your posts.
  2. Reply publicly under the comment or by private message; a private message opens a conversation in Inbox.
  3. Hide unwanted comments; they stay under the hidden comments filter.
  4. Switch on Reply automatically: when a comment holds the keywords of a rule from Auto-replies, the customer gets its reply by private message and a short public reply appears under the comment.

In Statistics see how fast you reply and how many replies came from rules, the AI and the team.

AI designs and videos

  1. Fill in the Brand kit: logo, colours, font and website.
  2. In Social marketing → Designs click New design, write what you want to promote and choose languages and formats.
  3. Under Design style, choose the look; Concept (agency style) builds one strong visual idea with few words, like agency ads.
  4. The AI makes 3 variants: approve one, or quickly change the words and colours.
  5. Every design comes with a ready Post text (an opening, the benefits and a call to action) and Hashtags, your business name first; edit them before publishing.
  6. On the approved design click Make video for Reels and Stories.

Publishing and boosting

  1. In Posts click New post, choose the design, the text for each language and the pages.
  2. Publish now or schedule a date and time.
  3. In Ads click New boost, choose the post, daily budget, cities, age and language.
  4. A boost starts only after an admin approves it.

Meta charges the ad budget directly to your own card; Clientlly never handles that money.

When the team prepares the posts

  1. A team member who does not publish prepares the post in Posts and clicks Propose a post.
  2. The admin or manager gets a notification and sees the post with the name of whoever proposed it.
  3. They click Approve and publish to publish or schedule it, or Send back with a note with what needs changing.
  4. The author sees the note, changes the post and proposes it again.

Nothing is published in the business's name without the approval of an admin or manager.

WhatsApp campaigns and reminders

  1. In WhatsApp templates send the template to Meta for approval.
  2. Once approved, create the campaign in WhatsApp campaigns: the template, who gets it and when.
  3. An admin starts it after seeing the exact number of people; clients must have given their consent.
  4. In Automatic reminders set the message that goes out by itself some months after the last service.

Anyone who writes "STOP" gets no more campaign messages.

How many customers and sales social networks bring

  1. In Posts the Sales from social media card shows the people who commented on your posts or wrote from an ad this month.
  2. When their conversation is linked to a client, that client's invoices within 90 days count as sales from social networks.
  3. In Ads see for each boost how many people it reached and what each result cost.
  4. In Customer messages → Statistics see conversations by day and channel and how fast the team replies.

Link every conversation to its client so the sales are counted correctly.

When a customer asks for their data to be deleted

  1. Open the customer's conversation in Customer messages.
  2. On the contact card click Delete conversation and contact (admins only).
  3. The conversation, messages, comments and contact are deleted from Clientlly; a linked client is kept.

The messages stay on Facebook, Instagram or WhatsApp until you delete them there.
