How personal information is used when you visit Clientlly, contact us, or use the service.

Who is responsible

CLIENTLLY SH.P.K. operates Clientlly and is responsible for website enquiries, account administration and billing. Contact privacy@clientlly.com about personal information. The business contact details below identify the operator. For records an organisation uploads to its workspace, that organisation determines the purposes of processing; contact it first about those records. A separate data processing agreement governs our processing on its behalf.

Website enquiries and quotes

We ask for your name, email and message so we can respond. Company and project details are optional. Submissions are saved in our lead database and sent to our configured email inbox. We record the form source, page path, language and notice version. A short-lived rate limit helps prevent abuse. We do not save your IP address or browser user-agent in the enquiry record. Please do not submit passwords, payment card numbers, health information or other sensitive records through these forms. Contacting us does not subscribe you to marketing.

Accounts and customer records

When you create an account, we process account and organisation details needed to authenticate you and provide your selected services. Workspaces can contain customer and supplier contacts, invoices, documents and employee records supplied by their organisations. Provide only the records needed for your work, and ensure you have an appropriate legal basis and notices for the people concerned. Payment providers process payment details under the terms shown at checkout.

Purposes and legal bases

We use enquiry details to take steps at your request before a contract or, for general business enquiries, for our legitimate interest in responding. Account and billing processing supports our contract and applicable accounting obligations. Proportionate security processing supports our legitimate interest in preventing abuse. Optional referral attribution relies on your consent. Where marketing is offered, it requires a separate choice; you can withdraw that choice. These bases do not replace any additional requirements that apply to sensitive data.

Cookies and automatic information

Our hosting and network services receive connection data such as IP addresses and request information to deliver and secure the site. Language and theme are selected in your browser; the marketing website does not request your precise location. The Cookie Policy lists browser storage and referral choices. We do not integrate advertising pixels or behavioural analytics into this marketing website.

Optional AI assistant

If you send a message to the website AI assistant, your message and the conversation context are sent to Google Gemini through our server to generate a reply. Opening the widget alone does not send a conversation. The website keeps the conversation in memory for the current page session rather than saving it to browser storage. Reloading clears that local conversation; it does not erase provider-side processing. Do not include confidential, sensitive or third-party personal information. AI answers can be inaccurate and are not binding offers or professional advice.

Google services you connect in the app

Google sign-in uses the authorised email and profile information for authentication. If you explicitly connect Google Drive, the app uses the permissions shown during authorisation to browse and import files you select. Disconnect integrations from their app settings and revoke permissions in your Google Account. Clientlly’s use and transfer of information received from Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements. Connected Google user data is not used for advertising.

Recipients and international processing

Our hosting, database and email service providers process information needed to operate the website and handle requests; Google Gemini processes conversations you submit to the assistant. Enabled app integrations and payment services receive the information needed for the features you select. Information may be processed outside your country. Ask our privacy contact for the current providers, processing locations and applicable transfer safeguards before sending data that requires specific hosting or contractual arrangements. We may also disclose information where legally required or necessary to handle a legal claim.

Retention

We keep enquiry and account information while it is needed to handle the request, administer the relationship or meet applicable accounting and legal obligations. The appropriate period depends on the record and jurisdiction; contact us for the period applicable to your records or to request deletion. Browser preference and referral retention is listed in the Cookie Policy. Deleting browser data does not delete submitted enquiries, email copies, account records or providers’ logs.

Your rights

Depending on applicable law, you can request access, correction, erasure, restriction or portability of your personal data, and object to processing based on legitimate interests. Withdraw optional-cookie consent in Cookie settings at any time; withdrawal does not undo earlier lawful processing. Send other requests to privacy@clientlly.com. We may need proportionate information to verify your identity. You may complain to the competent data protection authority, including Kosovo’s Information and Privacy Agency where applicable, or the authority in your place of residence. Mandatory rights and response deadlines apply.

Children, security and changes

This is a business service, not a service directed at children. Do not submit children’s information through the public website. Access controls and other safeguards reduce risk, but no service can promise absolute security. Material changes to processing require an updated notice and, where necessary, a new choice. The version date identifies this notice.
